This notice describes how we handle names, emails, and the personal data that sometimes sits inside a holdings file.
Controller

What we collect
From the contact form: name, email, the report you selected, a committee date if you gave one, and the message. From a commission: the files you send, invoices, and notes of review calls. We do not ask for payment-card numbers on this website.
Why
We use this information to reply to you, to prepare the pack, to invoice, and to keep records required by United Kingdom law. The legal bases are contract (or steps toward a contract) and legitimate interests in running a reporting practice. Where a holdings file contains personal data about underlying investors, you are responsible for having a basis to send it.
Retention
Enquiry messages that do not become a commission are deleted after eighteen months. Working files for a delivered pack are kept for six years with the invoice, then securely deleted, unless a longer period is required for a dispute or by law.
Your rights
You may ask for access, correction, deletion, restriction, or portability of personal data we hold, and you may object to processing based on legitimate interests. You may complain to the Information Commissioner’s Office. These rights are not a route to rewrite a locked exhibit after circulation; that is a separate reporting question.
International transfers
We work from the United Kingdom. If a processor stores mail or files outside the UK, we use a transfer mechanism recognised under UK data protection law, such as the UK Addendum to the European Commission’s standard contractual clauses, or a country covered by UK adequacy regulations.
